Ordering vaccines

• Before placing an order, you must apply for an account number with the Department of Health.
• Download the government funded vaccine account application form and submit it to the Immunisation Program immunisation@health.vic.gov.au.

Note: Processing may take up to six (6) weeks. Incomplete applications will not be approved.

Under the Australian Immunisation Register Act 2015, all immunisation encounters must be reported to AIR. If you don’t have an AIR provider number, submit an AIR IM004 form. If state endorsement is required, include it with your vaccine account application.

Before ordering:

1. Check your last approved order date (via My Account > Order History).
2. Complete a full stock count of your vaccine fridge(s).
3. Report stock on hand (enter 0 for vaccines not held).
4. Combine influenza and other vaccines in one order.
5. Order in doses, not packs.

Place your order online via Onelink for all immunisation products except rabies.

• One order per month is recommended
• Orders are accepted:
  • every 7 days from April to September
  • every 14 days during the rest of the year
• Use the suggested monthly order and product history tools to guide your order.
• Avoid overstocking - maintain airflow in your vaccine fridge.

You’ll receive a confirmation email once your order is accepted, along with tracking updates.

Note:

• Orders may be audited, and AIR data may be reviewed.
• Allow 3 business days for delivery (or 5–7 days during flu season).
• There are no deliveries to rural areas on Mondays.

Vaccines must be received by staff trained in cold chain management.

While unpacking:

• Verify the delivery matches the invoice and is undamaged.
• Contact Onelink immediately if there are issues, including a breached TagAlert®.
• Minimise fridge door opening time.
• Rotate stock to use vaccines with the earliest expiry first.
• Keep vaccines in their original packaging.

Use the Government Funded Vaccine Account Change of Details form to update:

• Service name
• Phone number
• Generic service email
• Delivery address
• Responsible practitioner

Notify the Immunisation Program within 5 working days of any changes. Failure to do so may result in account suspension.

Ensure your generic service email is current to receive important updates.
